HR Coordinator, APAC at BBC Studios

Purpose of the role Reporting to the HR Business Partner, APAC, the role will be responsible for the delivery of Human Resources Operations in APAC (Singapore, China, Hong Kong, Taiwan, Japan, Korea India and Australia), acting as a central point for all people related issues including payroll, recruitment, immigration and at the same time ensuring consistency and accuracy and processes, systems and data. Accountabilities • Provide HR support and guidance on general HR issues including but not limited to: recruitment, new starters process, on-boarding, employee relations, probationary periods, implementing changes (e.g. promotion or moves), family-related leave, flexible working, compensation & benefits, employee engagement, and leavers. • Provide day-to-day advice to the business, implementing processes, maintenance of data and HR systems and supporting the HR Business Partner, APAC as necessary. • Manage key HR Operations processes such as monthly payroll (e.g. monitoring payroll deadlines, checking monthly payroll report, employee income tax payments, social insurance, fund transfer requests to payroll vendors), HR audit processes and global annual processes such as appraisals, pay review, bonus and benefits • Add or remove employees from Asia company benefits (insurance), support the annual renewal of company benefits with brokers and raise purchase orders on SAP for invoices; • Apply and renew work visa, work passes, dependent passes and residential cards for employees in Asia; • Manage and maintain the annual HR budget and raise purchase orders on SAP for all Asia HR-related invoices and freelancers’ invoices; • Monitor the consistency and accuracy of BBC Studios data held in all HR related systems by working with HR service centre, ensuring all employee data and manager relationships are up-to-date at all times. • Support the central recruitment process with the HR Business Partner, APAC, including raising approval requests, posting of job advertisements, shortlisting and screening candidates, coordinating interview appointments, running psychometric assessments, generating interview guides and issuing employment contracts; • Monitor employee probationary periods, manage fixed term contracts for renewals • Administer and support learning and performance management system, monitor mandatory training records, prepare and send learning email communications, booking of learning/meeting facilities when necessary; • Support and manage employee engagement initiatives such as diversity and inclusion, health and mental wellbeing, sustainability and corporate social responsibility; • Manage exit process including payroll, entitlements and benefits, conducting exit interviews and providing relevant management information; • Manage the delivery of HR reports, newsletters and internal HR announcements; • Undertake HR project work as required. Scope & Impact • Operates as the foundation block to BBC Studios’ Human Resources Department and thereby directly impacting its overall performance and reputation • Is recognised as a HR operations expert within BBC Studios, both within and beyond own function • Contributes to project teams to achieve milestones and objectives that impact the business on a global level Strategic Planning & Decision Making • Develops, adapts and executes HR operational strategy to help achieve key business objectives Relationships • Daily contact with HR Business Partner, managers and employees. • Weekly communication with the global HR team to maintain strong relationships, sharing best practise and experience. • Be an approachable point of contact for external HR contacts. Knowledge & Skills • A proactive, detail oriented approach to HR, ready to build and develop relationships; • Global mindset: thinking and acting for both local and global needs; • A collaborative approach; • A 'can do’ and practical approach to their work; • Experience of managing a varied workload, juggling a number of tasks at any one time; • Strong Microsoft Office Skills Professional Experience • HR qualification preferred but not required; • Previous experience working in a HR team, with sound organisation skills and strong attention to detail; and • Previous exposure to an international organisation is desirable.
